Welcome to Spectrum Travel Events Ltd. By booking or travelling with us, you agree to the following Terms & Conditions. Please read them carefully before confirming your booking.
1. Deposits & Payments
A £15 non-refundable deposit is required at the time of booking for each one-way journey (a return journey requires a £30 deposit).
Your booking will not be confirmed until the deposit has been received.
The remaining balance must be paid no later than the day of travel.
We accept payments via card, bank transfer, online portal, Apple Pay, Google Pay, invoice, Clearpay, and Klarna (some payment methods may include additional processing fees).
Failure to pay the balance may result in cancellation of your booking without refund of the deposit.
2. Cancellations & Refunds
Deposits are strictly non-refundable.
Cancellations made 7 days or more before the scheduled travel date will not incur additional charges (beyond the deposit).
Cancellations made within 48 hours of travel may result in full payment being required.
No-shows or same-day cancellations will be charged in full.
In exceptional circumstances (e.g. medical emergencies), we may, at our discretion, offer credit towards a future booking.
3. Changes & Amendments
If you need to amend your booking (e.g., travel time, destination, passenger names), please contact us as early as possible.
Minor changes are typically free, but significant amendments (e.g., route or date changes) may incur an additional fee.
Any change requests are subject to driver and vehicle availability.
4. Special Requests & Accessibility
Please inform us during booking if you require:
Child seats or boosters
Accessible vehicles or folding wheelchairs
Silent journeys (driver will only communicate when necessary)
Text-only communication (driver may call only if essential)
We will always do our best to accommodate these needs, but cannot guarantee all requests, especially last-minute ones.
5. Passenger Conduct
Passengers are expected to behave respectfully toward drivers and other passengers.
No smoking, vaping, or illegal substances are permitted inside vehicles.
Alcohol consumption may be restricted; please confirm before travel.
If a passenger is unfit to travel (due to intoxication or behaviour), the driver has the right to refuse service without refund.
Any damage to vehicles caused by passengers (including soiling, spills, or breakages) may result in a cleaning or repair fee.
6. Luggage & Belongings
Standard luggage allowances apply; please declare oversized, heavy, or special items (e.g., prams, sports gear, instruments) when booking.
Spectrum Travel Events Ltd is not liable for loss, theft, or damage to personal belongings.
All items are carried at the owner’s risk.
7. Timing & Delays
Passengers must be ready at the agreed pick-up time.
Drivers may wait up to 15 minutes, after which a late or missed departure may be treated as a no-show.
While we make every effort to arrive on time, Spectrum Travel Events Ltd is not responsible for delays caused by traffic, weather, accidents, or other events beyond our control.
For airport or time-sensitive journeys, please allow sufficient time for traffic and check-in delays.
8. Children & Child Seats
UK law requires that children under 12 years old or under 135 cm in height use an appropriate child seat or booster.
Please inform us if you require one at the time of booking.
Passengers are responsible for ensuring children are securely fastened during the journey.
9. Adult & Family Travel Preferences
We respect all travel preferences:
Adult-only travel (toys removed)
Adults travelling — toys can remain
Travelling with children — toys will remain in place
Please indicate your preference when completing your booking form so we can tailor your vehicle accordingly.
10. Allergies & Medical Information
Please disclose any allergies or medical conditions that may affect your journey.
We cannot guarantee an allergen-free environment but will take reasonable precautions when informed in advance.
11. Vehicle & Driver Allocation
You may be assigned a different driver or vehicle than initially booked.
All our drivers are licensed, insured, DBS-checked, and experienced in assisting families and SEN passengers.
Vehicles are regularly cleaned, serviced, and maintained to the highest standards.
12. Insurance & Liability
Spectrum Travel Events Ltd holds full public liability and vehicle insurance.
We are not liable for any indirect loss (e.g., missed flights, hotel costs, or events) caused by delays beyond our control.
Our total liability will not exceed the cost of the journey booked.
13. Third-Party Services
Occasionally, we may work with partner transport providers to deliver your service.
These partners meet our quality and safety standards. However, Spectrum Travel Events Ltd cannot be held responsible for their independent actions or omissions.
14. Force Majeure
We are not responsible for cancellations, delays, or disruptions caused by events outside our control, including but not limited to:
weather, natural disasters, strikes, road closures, public unrest, or government restrictions. In such cases, we will do our best to rearrange your journey or offer credit toward a future trip.
15. Complaints & Feedback
If you experience an issue, please notify us immediately so we can address it.
Formal complaints must be made in writing within 7 days of your journey.
We aim to respond within 14 days.
Constructive feedback is always welcome — we continually strive to improve our service.
16. Privacy & Data Protection
We respect your privacy. Your personal data is collected only for managing your booking and providing your travel service.
Data will never be shared with third parties except where required for operational purposes or by law.

17. Governing Law
These Terms & Conditions are governed by UK law, and any disputes will be handled in the courts of England and Wales.
